ORCID Accounts integrates the collection of researcher information automatically into the Research Management System (RMS) developed by the Australian Research Council (ARC).
This functionality will reduce the burden of repeated manual entry of publication data (‘works’) in the grant application process (e.g. it will automatically populate all research outputs directly from your ORCID Profile that includes forms for the Discovery Projects (DP) scheme.).
RMS is used by various agencies to manage Grant Programs with each agency utilising functions such as submissions, assignments and assessments, rejoinders for all eligible researchers to prepare and submit ‘Research Applications and Assessments’.

Your ARC’s Research Management System (RMS) 'Person Profile’ will be enhanced to include your research output data.
To link and sync your ORCID Account to the RMS:
- Go to RMS Login page.
- From the Person Profile section, select Personal Details
- Under the ORCID ID section of the Personal Details page, select “Create or Connect your ORCID ID button”
4. A new window will open. Sign in to your ORCID account or register for a new ORCID account.
5. After logging in, a message will prompt you to authorise RMS and to read your limited access information. The same function is available on the Research Output page in your RMS profile.
How to update RMS record citation errors
To correct the display of the citation title or other publication metadata (apart from the publication type), you need to edit the ORCID record first and then re-populate to the RMS 'Person Profile’ by using the ORCID Record Option. It is best practice to preview the citation as a PDF to ensure it is correct.
- If the citation is listed in the wrong Category in the RMS, you will need to edit the citation in RMS to update it accordingly.
- You can edit citations by choosing the 'Details Option' to change to the relevant option.
Publication types and fixes
Once the data is entered into your RMS profile, it will auto-populate proposals manually to create new documents each time you submit a project proposal to RMS due to the citation data auto-populating from the RMS profile.
Editing records from ORCID to RMS
RMS will not import records from your ORCID Account unless:
a. The visibility setting is set to Everyone
b. Citations are added by one of the following options: Bibliographic Management System, manually, or DOI
c. The information in your ORCID record must be correct in the 'Citation field’ to ensure the data displays correctly in the RMS record
d. NTRO outputs can be added to RMS, however, they require the ‘unspecified citation type’ to be assigned to the ORCID Record
The only publication categories accepted by RMS are:
• Authored Book
• Edited Book
• Book Chapter
• Refereed Journal Article
• Fully Refereed Conference Proceedings
• Additional Research Output
Editing records from RMS to ORCID Account
• The category can be updated via the RMS by using the 'Additional Details' option.
• To correct the display of the title or other publication metadata (apart from the publication type), you will need to edit this in the ORCID record first and re- populate to the RMS:
• RMS will not retrieve the title field from the ORCID Record as the citation title must be detailed in the citation text field.
• If an ORCID research output does not contain a citation but a DOI; the RMS will use the DOI to populate the missing citation information
• Duplicate records in your RMS profile can only be updated by reviewing your ORCID Account and updating records to ensure citation accuracy.
• Then, use the 'Refresh the ORCID Record Option' via the RMS to update research outputs with the latest amendments.
